The use of a photo box for employee photos
The employees in your company have the opportunity to photograph and/or update the individual employee photo at a fixed location or at locations that change on a regular basis (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on the spot.
You give your staff the chance to identify themselves 100% with their individual employee photo.
The personal photos are automatically optimized to the ideal format, freed from disturbing elements in the background and optionally saved in many formats and aspect ratios.
One possible solution
You place a photo box optimized for employee photos in your company (e.g. in the personnel department, at the ID office or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box, similar to a passport photo machine, and read the instructions for the necessary steps on the display.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Personnel identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up so that the data can be read directly from the company ID card. The information recorded in this way is then an element of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be presented with a confirmation option for internal/external use of the photo.
After photographing the employee portrait, the background of the image can be automatically replaced with one or several backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and positioned in a specified position on the final image.
The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the saved portrait and the internal employee data record takes place via the name of the file. We would be happy to help your IT department clarify the connection.
A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image output can take place in many dimensions at the same time.
So you always have the best possible photo for
the CRM system, Outlook, LinkedIn, Instagram
etc. within easy reach.
Logically, each file can also be “branded” using the company logo and/or the name and position of the employee will be immediately visible on the image.

How does the photographed person get the photo?
To ensure that the CRM system or Active Directory is not the only one to benefit from the new images, there are three different ways for employees to get their image as a file.
- Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to copy the original recording and the various sizes for the various target systems. - Enter the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's e-mail address. - Download via QR code from an offline gallery
The photo box provides its own WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery where employees can save their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
Further deployment options
In order to make the best possible use of the purchase, you have the following options:
- Employee photos (as already explained)
- Use at employee parties (summer party, Christmas party ...}
- Production of biometric passport photos and ID photos
- Photos of groups of visitors, e.g. after a tour of the company
- Use at trade fairs to produce personalized “flyers”

The cost frame
The cost of buying a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 or more employees.
Of course, there is also the option to test the system in advance on a rental basis for €650 + €1/employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is bought directly.
