The use of a photo box for employee photos
The employees in your company are given the opportunity to photograph and/or update their personal employee photo at a fixed location or at alternating locations (e.g. in the dining room or company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that you do not need additional staff on site.
You give your staff the option to always identify themselves 100% with their own employee photo.
The personal photos are automatically optimized to the optimal format, freed from disturbing elements in the background and optionally saved in different dimensions and aspect ratios.
One possible solution
You position a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will sit in front of the photo box, similar to a passport photo machine, and see the instructions for the necessary actions on the touchscreen.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data is immediately read from the employee ID card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen can be set up with a release option for internal / external use of the photo.
After photographing the employee portrait, the background of the photo can be automatically exchanged for one or many backgrounds specified by you. The head is also located for each photo, scaled to a specified size and placed in a defined position on the final image.
The photo is saved in a size and aspect ratio you describe (eg square for Active Directory). The name of the picture is used to compare the saved portrait with the in-house employee data set. We would be happy to help your IT department specify the import interface.
As an extra option, a biometric check and a cut on a biometric ID photo are available.
The image output can take place synchronously in different formats.

Of course, each file can also be "personalized" with company logos and/or the designation and position of the employee will be immediately included in the picture.

How does the employee get his photo?
To ensure that the CRM system or Active Directory is not the only one to benefit from the new images, there are three different ways for the employee to choose to receive their photo as a file.
- Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to download the original recording and the various formats for the various target systems. - Download via QR code from an offline gallery
The photobooth provides a private WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery where employees can download their pictures. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box. - Enter the e-mail address at the end of the photo sequence.
The captured photo is then immediately sent to the employee's e-mail inbox.

The cost frame
The price for purchasing such a perfected photo box starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is taken over immediately.
