The use of a photo box for employee photos

The employees in your company have the opportunity to photograph and / or update their personal employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional employees are not needed on the spot.
You give your employees the chance to identify themselves at any time to 100% with their personal employee photo.

The staff photos can be independently adapted to the ideal format, removed from annoying elements in the background and, if desired, saved in different shapes and aspect ratios.

One possible solution

You position a photobooth set up for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There the employees can sit in front of the photo booth in the same way as with the passport photo machine and read the instructions for the necessary steps on the monitor.

The screen serves as a touch screen at the same time as an input terminal for the necessary information such as B. Employee ID, first name, family name and / or date of birth.
Alternatively, the photo box can also be configured so that the data can be read in directly from the employee ID. The information collected in this way is then later an element of the file name of the employee photo taken.
Optionally, a data protection screen can be set up with a checkbox for internal / external use of the employee profile.

Following the recording of the employee picture, the background of the recording can be automatically exchanged for one or many backgrounds you have specified. The head of each photo is also determined, scaled to a specified size and placed in a specified position on the final image.

The photo is saved in a size and format you have specified (e.g. square for the ActiveDirectory). The file name is used to compare the photo taken and the internal employee data record. We would be happy to help your IT department specify the import interface.

A biometric check and a cut to a biometric ID photo are also available.
The image output can take place simultaneously in various forms.

Logically, each file can also be “personalized” with the help of the company logo and / or the name and position of the employee can also appear on the picture.

How does the photographed person get his picture?

So that the CRM system or the ActiveDirectory alone does not come into possession of the new photos, there are three different ways for employees to get their picture as a file.

1. Download from an offline gallery via QR code
   The Photobox provides a private WLAN which the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery from which employees can download their pictures. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
2. Download from an online gallery
   At the end of the recording, a code is displayed or printed on the touchscreen, which the employee can use to download the original recording and the various sizes for the different target systems.
3. Enter the email address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's email inbox.

To get the most out of your investment, you have the following options:

The cost frame

The investment for the purchase of such an optimized photo booth starts at approx. 4,400 € plus VAT and is worthwhile for companies with around 100 employees.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is taken over directly.
