What should be achieved?

The employees in your company have the option of creating and/or updating the individual employee photo at a fixed location or at regularly alternating locations (e.g. in the dining room or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that additional personnel are not required on site.
You give your staff the option to always identify themselves 100% with their own employee photo.

The staff photos can be independently optimized to the best format, removed from annoying elements in the background and optionally saved in several formats and aspect ratios.

A suggested solution

You place a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo booth and read the instructions for the necessary steps on the monitor, similar to the photo booth.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. Personnel identifier, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be configured so that the data can be read directly from the business card. The employee data collected in this way is then subsequently part of the file name of the employee photo taken.
Optionally, a privacy screen can also be set up with a confirmation option for internal/external use of the employee portrait.

After the employee picture has been photographed, the background of the photo can be automatically replaced with one or more backgrounds specified by you. The head is also located for each photo, adjusted to a specified size and placed in a specified position on the final image.

The recording is saved in a size and aspect ratio specified by you (eg square for the Active Directory). The name of the file is used to compare the portrait taken with the internal employee data record. We would be happy to support your IT department in determining the import interface.

A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can be in many forms simultaneously.

Logically, each file can also be “branded” with company logos and/or the employee's name and position can be immediately visible on the image.

How do the staff get their picture?

To ensure that the CRM system or Active Directory alone does not come into possession of the new photos, there are three different ways for employees to get their picture digitally.

1. Download via QR code from an offline gallery
   The photobooth provides its own WLAN which the employee has to dial into.
   At the end of the recording, a QR code is displayed on the screen. The QR code leads to the offline gallery from which employees can download their recordings. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box.
2. Enter the email address at the end of the photo sequence.
   The photo taken is sent directly to the employee's email address.
3. Download from an online gallery
   At the end of the sequence, a code is displayed on the touchscreen or printed out, which the employee can use to download their original photo and the various versions for the various target systems.

The cost frame

The price for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and is already worthwhile for organizations with around 100 employees or more.
Of course, there is also the possibility to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
