What should be achieved?
The employees in your company have the opportunity to create and/or update the individual employee photo at a fixed location or at a location that changes on a regular basis (e.g. in the dining room or company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that extra personnel are not needed on site.
You give your employees the opportunity to identify themselves around the clock with their own employee photo.
The staff photos are automatically adapted to the appropriate format, removed from disturbing elements in the background and optionally saved in a number of sizes and aspect ratios.
One possible solution
You position a photo box set up for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space requirement is around 1.5mx 1m.
There, the employees can sit in front of the photo box and read the instructions for the necessary actions on the screen, just like with the passport photo machine.
The monitor serves as a touch screen in parallel as an input terminal for the necessary information, e.g. B. Personnel ID, first name, last name and/or date of birth.
Alternatively, the photobooth can also be set up so that the data can simply be read from the employee ID card. The employee data recorded in this way is then part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal/external use of the employee portrait can also be displayed.
After the employee picture has been taken, the background of the picture can be automatically replaced with one or different backgrounds specified by you. The head is also located for each photo, adjusted to a specified size and placed in a defined position on the final image.
The photo is saved in a size and format you specify (eg square for Active Directory). The name of the picture is used to compare the photograph taken with the internal employee data record. We would be happy to help your IT department clarify the import interface.
A biometric check and a cut for a biometric ID photo are available as an extra extension.
The image output can take place in different dimensions at the same time.
So you always have the right photo for
Twitter, Facebook, XING, Outlook, WhatsApp & Co, the CRM system, Instagram, LinkedIn
etc. are available.
Of course, each file can also be “personalized” with the company logo and/or the employee's name and position can also be visible on the image.

How does the employee get their photo?
To ensure that the CRM system or Active Directory is not the only one to benefit from the new photos, there are three different ways for employees to choose from to get their photos digitally as well.
- Download from an online gallery
At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which the employee can use to load his original photo and the various versions for the various target systems. - Download via QR code from an offline gallery
The photobooth provides its own WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery from which employees can save their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
In this case, the captured photo is sent directly to the employee's mailbox.

The cost frame
The cost of buying a photo box adapted in this way starts at around €4,400 plus VAT and pays off for organizations with around 100 employees or more.
Of course there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is kept directly.
