What should be achieved?

The employees in your company have the option of photographing and/or updating their own employee photo at a fixed location or at regularly changing locations (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need additional staff on site.
You give your employees the chance to identify themselves at any time to 100% with their individual employee photo.

The personal photos can be automatically cut to the best possible format, removed from annoying elements in the background and, if desired, saved in various dimensions and aspect ratios.

Our proposed solution

You place a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photobooth, similar to the photo booth and see the operating instructions for the necessary actions on the screen.

The monitor serves as a touch screen at the same time as an input terminal for the required information such as B. Personnel identifier, name, surname and/or date of birth.
Alternatively, the Photo Box can also be configured in such a way that the data is read directly from the company ID card. The information collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen with a confirmation option for internal / external use of the employee profile can also be set up.

After the employee photo has been taken, the background of the photo can be automatically replaced with one or more backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned in a specified position on the final image.

The image is saved in a size and format you define (eg square for Active Directory). A comparison between the saved photo and the internal employee data record takes place via the name of the picture. We would be happy to support your IT department in defining the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an additional expansion stage.
The image output can happen in several dimensions at the same time.
So you always have the best possible photo for
Facebook, Instagram, Twitter, WhatsApp & Co, the CRM system, LinkedIn, Outlook, XING
etc. at hand.

Of course, each file can also be “branded” with logos and/or the name and position of the employee will be directly visible on the image.

How does the photographed person get the photo?

So that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for employees to choose how to get their picture as a file.

1. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to download the original photo and the various formats for the various target systems.
2. Download via QR code from an offline gallery
   The Photobox provides its own WLAN which the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery from which employees can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.
3. Entry of the email address at the end of the photo sequence.
   In this case, the photo taken is immediately sent to the employee's e-mail inbox.

Alternative uses

In order to get the most out of your investment, you have the following options:

• Use at trade fairs to produce personalized “flyers”
• Use at company parties (summer party, Christmas party ...}
• Recording of biometric passport photos and ID photos
• Recordings of groups of visitors, e.g. after a tour of the company
• Employee photos (as already explained)

The cost frame

The investment for the purchase of a photo box adapted in this way starts at around € 4,400 plus VAT and pays off for companies with around 100 employees.
Of course there is also the opportunity to test the system in advance on a rental basis for 650 € + 1 € / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is retained.
