The use of a photo box for employee photos
The employees in your company have the option to create and / or update their individual employee photo at a fixed location or at regularly changing locations (e.g. in the dining room or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the opportunity to always identify themselves to 100% with their personal employee photo.
The staff photos can be independently optimized to the appropriate format, removed from annoying elements in the background and optionally saved in different formats and aspect ratios.
Our proposed solution
You place a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There the employees will sit down in front of the photo box in the same way as with the passport photo machine and see the operating instructions for the necessary actions on the monitor.
The screen serves as a touchscreen at the same time as an input terminal for the necessary data such as B. Employee ID, name, surname and / or date of birth.
Alternatively, the photo booth can also be programmed so that the data can simply be read from the employee ID. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a confirmation option for internal / external use of the employee profile.
After the employee picture has been taken, the background of the photo can be automatically exchanged for one or different backgrounds you have specified. The head is also determined for each photo, adjusted to a specified size and positioned on the final image at a defined position.
The photo is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). The name of the picture is used to compare the saved photo and the internal employee data record. We would be happy to help your IT department clarify the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can happen in several sizes at the same time.

Of course, each file can also be “branded” with a company logo and / or the name and position of the employee can be immediately shown on the picture.

How does the employee get his photo?
So that not only the CRM system or the ActiveDirectory gets into possession of the new photos, employees can choose between three different ways to get their picture as a file.

In this case, the captured photo will be sent directly to the employee's email inbox. - Download via QR code from an offline gallery
The photobooth provides a private WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery in which employees can upload their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the Photo Box. - Download from an online gallery
At the end of the recording, a code is displayed or printed on the touchscreen, which the employee can use to download his or her original photo and the various versions for the various target systems.
