What should be achieved?
The employees in your company are given the opportunity to photograph and/or update their personal employee photo at a fixed location or at rotating locations (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional employees are not needed on site.
This gives your workforce the option to fully identify themselves at any time with their own employee photo.
The personal photos are automatically adjusted to the optimal format, removed from annoying elements in the background and optionally saved in several formats and aspect ratios.
Our proposed solution
You position a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box in a similar way to a photo booth and see the instructions for the necessary actions on the monitor.
The screen serves as a touch screen at the same time as an input terminal for the necessary data such as e.g. B. ID, name, surname and/or date of birth.
Alternatively, the Photo Box can also be configured in such a way that the data is read directly from the company ID card. The data collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal/external use of the employee portrait can also be displayed.
Following the photograph of the employee picture, the background of the recording can be automatically replaced with one or different backgrounds specified by you. The head is also located for each photo, scaled to a specified size and positioned at a defined point on the final image.
The photo is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison is made between the saved photo and the in-house employee data record via the name of the file. We would be happy to support your IT department in defining the interface.
A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image output can take place in different dimensions at the same time.
So you always have the best possible photo for

etc. are available.
Of course, each file can also be "personalized" with company logos and/or the name and position of the employee can also be visible on the image.

How does the employee get the photo?
So that not only the CRM system or the Active Directory gets the benefit of the new photos, there are three different ways for the employees to get their photo digitally.
- Download from an offline gallery via QR code
The photo box provides its own WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. The QR code leads to an offline gallery from which employees can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to copy his original photo and the different versions for the different target systems. - Enter the email address at the end of the photo sequence.
In this case, the photo taken is immediately sent to the employee's mailbox.
Alternative deployment options
To get the most out of your investment, you have the following options:

The cost frame
The price for purchasing a photobooth optimized in this way starts at around €4,400 plus VAT and is worthwhile for organizations with around 100 employees or more.
Of course, there is also the possibility to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is kept immediately.
