What should be achieved?

The employees in your company have the option of creating and/or updating their personal employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or human resources department).
It is essential that this is achieved in the form of a self-service process and that additional personnel are not needed on site.
You give your staff the chance to always fully identify themselves with their individual employee photo.

The staff photos are automatically cut to the optimal format, freed from annoying elements in the background and optionally saved in many dimensions and aspect ratios.

A suggested solution

You place a photo box set up for employee photos in your company (e.g. in the human resources department, at the ID card office or at reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box and see the instructions for the necessary steps on the touchscreen, similar to the photo booth.

The screen serves as a touch screen at the same time as an input terminal for the required information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read in immediately from the employee ID card. The information collected in this way is then part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external use of the employee portrait can also be displayed.

Following the recording of the employee picture, the background of the recording can be automatically replaced with one or several backgrounds specified by you. The head of each photo is also determined, adjusted to a specified size and placed in a specified position on the final image.

The recording is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the saved image and the internal employee data record takes place via the name of the image. We would be happy to help your IT department specify the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an additional expansion stage.
The image output can take place simultaneously in different dimensions.
So you always have the ideal photo for
XING, Facebook, Instagram, the CRM system, LinkedIn, WhatsApp & Co, Outlook, Twitter
etc. at hand.

Logically, each file can also be “personalized” with company logos and/or the employee's name and position can be directly visible on the image.

How does the employee get the photo?

So that not only the CRM system or the Active Directory can benefit from the new photos, there are three different ways for employees to receive their photo as a file.

1. Download from an offline gallery via QR code
   The Photo Box provides its own WLAN which the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the touchscreen. The QR code leads to the offline gallery where employees can save their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
2. Enter the e-mail address at the end of the photo sequence.
   Then the captured photo is sent directly to the employee's mailbox.
3. Download from an online gallery
   At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to download the original recording and the various formats for the various target systems.

Other deployment options

To get the most out of your investment, you have the following options:

• Use at company parties (summer party, Christmas party ...}
• Production of biometric passport photos and ID photos
• Photo attraction at customer events & meetings
• Recordings of groups of visitors, e.g. after a lecture
• Employee photos (as explained above)

The cost frame

The price for purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the possibility to try out the system beforehand on a rental basis for €650 + €1/employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.

Customer ratings

Since the system was implemented in 2019, two systems have been permanently set up in Germany and Zurich.
