What should be achieved?
The employees in your company have the opportunity to create and/or update their own employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or human resources department).
It is important that this is the case in the form of a self-service process and that you do not need additional personnel on site.
You give your employees the chance to identify themselves completely with their own employee photo at any time.
The personal photos are automatically optimized to the ideal format, freed from annoying elements in the background and optionally saved in several formats and aspect ratios.
The solution
You position a photo booth optimized for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box and read the instructions for the necessary steps on the display, as with the passport photo machine.
The screen serves as a touchscreen at the same time as an input terminal for the necessary data such as B. Employee ID, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be set up in such a way that the data can be read directly from the company ID card. The data collected in this way is then part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the image can also be displayed.
After the employee portrait has been photographed, the background of the image can be automatically replaced with one or various backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and positioned in a defined position on the final image.
The recording is saved in a size and format defined by you (eg square for the Active Directory). A comparison is made between the saved image and the internal employee data record via the file name. We would be happy to support your IT department in clarifying the connection.
A biometric check and an adaptation to a biometric ID photo are available as an additional expansion stage.
The image output can take place in many forms at the same time.
So you always have the ideal photo for
Outlook, LinkedIn, Instagram, Facebook, Twitter
etc. at hand.
Of course, each file can also be “personalized” with company logos and/or the employee's name and position can also be visible on the image.

How did the staff get the photo?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the company employees to choose to also receive their photo as a file.
- Download via QR code from an offline gallery
The photobooth provides a private WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to an offline gallery from which employees can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Entry of the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's email address. - Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the employee can use to download their original photo and the different sizes for the various target systems.

The cost frame
The cost of purchasing a photo box adapted in this way starts at around €4,400 plus VAT and is already worthwhile for organizations with around 100 employees or more.
Of course there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is taken over immediately.
