What should be achieved?
The employees in your company have the opportunity to photograph and / or update their personal employee photo at a fixed or regularly alternating location (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the option to always fully identify themselves with their own employee photo.
The personnel photos are automatically optimized to the best possible format, freed from annoying elements in the background and optionally saved in various dimensions and aspect ratios.
One possible solution
You position a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees will stand in front of the photo box, similar to a passport photo machine, and read the operating instructions for the necessary actions on the monitor.
The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Personnel number, first name, last name and / or date of birth.
Alternatively, the Photo Box can also be programmed so that the data can be read directly from the company ID card. The employee data recorded in this way are then part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the image can also be displayed.
After the photo of the employee's picture has been taken, the background of the recording can automatically be exchanged for one or various backgrounds you have specified. The head of each photo is also determined, scaled to a specified size and placed on the final image at a defined point.
The recording is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). The name of the file is used to compare the saved image with the in-house employee data record. We would be happy to support your IT department in determining the interface.
A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place simultaneously in different dimensions.

Of course, each file can also be “personalized” with the help of the company logo and / or the name and position of the employee are immediately visible on the picture.

How does the photographed person get the picture?
So that not only the CRM system or the ActiveDirectory get the new pictures, there are three different ways for employees to get their photos as a file.
- Download from an online gallery
At the end of the photo sequence, a code is displayed or printed out on the screen, which the employee can use to copy down his or her original recording and the various versions for the various target systems. - Enter the email address at the end of the photo sequence.
Then the captured photo is sent directly to the employee's email address. - Download via QR code from an offline gallery
The photo box provides its own WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery in which employees can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the Photo Box.
Other possible uses
To get the most out of your investment, you have the following options:

The need for investment
The cost of purchasing such a customized photo box starts at around € 4,400 plus VAT and pays off for companies with around 100 employees.
Of course, there is also the possibility to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept directly.
