What should be achieved?
The employees in your company have the opportunity to create and/or update the individual employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional employees are not needed on site.
This gives your workforce the opportunity to fully identify themselves at any time with their personal employee photo.
The personal photos can be independently cut to the ideal format, removed from annoying elements in the background and optionally saved in many dimensions and aspect ratios.
One possible solution
You place a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box in a similar way to a passport photo machine and read the operating instructions for the necessary actions on the touchscreen.
The screen serves as a touch screen in parallel as an input terminal for the required information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data is read in immediately from the employee ID card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the photo.
After the employee picture has been photographed, the background of the picture can be automatically replaced with one or more backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.
The photo is saved in a size and format specified by you (eg square for Active Directory). A comparison is made between the photographed image and the internal employee data record via the name of the file. We would be happy to help your IT department determine the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
Image output can be done in many sizes at the same time.

Of course, each file can also be "personalized" with company logos and/or the name and position of the employee will be immediately included in the picture.

How does the employee get his picture?
So that it is not just the CRM system or Active Directory that benefits from the new photos, there are three different ways for employees to receive their photos digitally.
- Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to load his original photo and the different sizes for the different target systems. - Download via QR code from an offline gallery
The photo box provides a private WLAN which the company employees must dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery from which employees can save their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's mailbox.

The cost frame
The cost of buying a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for €650 + €1/employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the photo box is bought immediately.
