The mission goal
The employees in your company have the opportunity to photograph and/or update their personal employee photo at a fixed location or at rotating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that additional personnel are not needed on the spot.
You give your employees the opportunity to fully identify themselves at any time with their individual employee photo.
The staff photos can be independently adapted to the optimal format, freed from annoying elements in the background and optionally saved in different dimensions and aspect ratios.
Our proposed solution
You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID card or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box and read the instructions for the necessary steps on the monitor, similar to the photo booth.
The screen serves as a touch screen at the same time as an input terminal for the necessary information such as B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data is read directly from the employee ID card. The information collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal/external use of the photo can also be displayed.
After the employee portrait has been taken, the background of the image can be automatically replaced with one or various backgrounds specified by you. Likewise, the head of each photo is determined, adjusted to a specified size and placed in a specified position on the final image.
The photo is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the stored portrait and the in-house employee data record takes place via the file name. We would be happy to support your IT department in clarifying the connection.
As an extra option, a biometric check and a cut on a biometric ID photo are available.
The image output can take place in different dimensions at the same time.
So you always have the best photo for
Facebook, LinkedIn, XING, WhatsApp & Co
etc. at hand.
Of course, each file can also be “personalized” with the company logo and/or the employee's name and position will be immediately visible on the image.

How does the employee get his picture?
To ensure that the CRM system or Active Directory alone does not come into possession of the new photos, there are three different ways for employees to get their picture digitally.
- Download via QR code from an offline gallery
The photo box provides its own WLAN that the employee has to dial into.
At the end of the recording, a QR code is displayed on the screen. That QR code leads to the offline gallery where employees can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's mailbox. - Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to download the original recording and the different versions for the various target systems.
Other deployment options
In order to make the best possible use of your investment, you have the following options:

The cost frame
The cost of buying a photo box optimized in this way starts at around € 4,400 plus VAT and pays off for organizations with around 100 employees.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over immediately.

Since the implementation of the system in 2019, two systems have been permanently installed in Germany and Switzerland.
