What should be achieved?
The employees in your company have the opportunity to create their own employee photo and / or update it at a fixed location or at alternating locations (e.g. in the dining room or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that no extra personnel is needed on site.
You give your teams the opportunity to always fully identify themselves with their own employee photo.
The staff photos are automatically cut to the optimal format, freed from disturbing elements in the background and, if desired, saved in different dimensions and aspect ratios.
One possible solution
You place a photo box that is perfect for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit down in front of the photo booth, similar to the passport photo machine, and see the instructions for the required actions on the screen.
The monitor serves as a touch screen in parallel as an input terminal for the required information such as B. Personnel number, first name, last name and / or date of birth.
Alternatively, the Photo Box can also be programmed so that the data can be read out directly from the employee ID card. The information collected in this way is then later an element of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the recording can also be displayed.
After the photograph of the employee portrait, the background of the picture can be automatically exchanged for one or various backrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned on the final image at a defined point.
The photo is saved in a size and format that you specify (e.g. square for the ActiveDirectory). The file name is used to compare the photographed image and the internal employee data record. We would be happy to help your IT department clarify the interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can take place synchronously in various forms.
So you always have the right photo for
WhatsApp & Co, XING, the CRM system, Instagram, Outlook

Of course, each file can also be “personalized” by means of a company logo and / or the name and position of the employee can be immediately visible on the image.

How do the staff get their picture?
So that not only the CRM system or the ActiveDirectory can benefit from the new photos, there are three different ways for employees to get their picture as a file.
- Download from an online gallery
At the end of the recording, a code is displayed or printed out on the screen, which the employee can use to download the original recording and the various formats for the various target systems. - Enter the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's email address. - Download from an offline gallery via QR code
The photo box provides a private WLAN that the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. The QR code leads to the offline gallery in which employees can download their pictures. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
Other deployment options
In order to make the best possible use of the acquisition, you have the following options:

The cost frame
The price for buying a photo box adapted in this way starts at around € 4,400 plus VAT and pays off for companies with around 100 employees.
Of course, there is also the opportunity to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is taken over directly.
