What should be achieved?
The employees in your company have the option to create and / or update their personal employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that no extra personnel is needed on site.
You give your employees the chance to always identify themselves to 100% with their individual employee photo.
The staff photos are automatically optimized to the appropriate format, removed from annoying elements in the background and optionally saved in different dimensions and aspect ratios.
A suggested solution
You place a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID office or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There the employees will stand in front of the photo box in the same way as with the passport photo machine and see the operating instructions for the necessary steps on the display.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Employee ID, name, family name and / or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the employee ID. The information recorded in this way is then an element of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal / external use of the photo.
Following the photograph of the employee picture, the background of the picture can automatically be exchanged for one or various backgrounds you have specified. The head is also determined for each photo, scaled to a specified size and placed on the final image at a defined point.
The photo is saved in a size and aspect ratio defined by you (e.g. square for the ActiveDirectory). The name of the file is used to compare the saved image and the internal employee data record. We would be happy to support your IT department in specifying the import interface.
A biometric check and a cut to a biometric ID photo are available as optional add-ons.
The image output can be done synchronously in different formats.
So you always have the best photo for
the CRM system, Instagram, LinkedIn, Outlook, XING
etc. are available.
Logically, each file can also be “personalized” with the help of the company logo and / or the name and position of the employee can be directly on the picture.

How does the photographed person get the photo?
So that the CRM system or ActiveDirectory alone does not benefit from the new photos, there are three different ways for employees to receive their photos as a file.
- Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to download his or her original photo and the various sizes for the various target systems. - Enter the e-mail address at the end of the photo sequence.
In this case, the captured photo is immediately sent to the employee's mailbox. - Download via QR code from an offline gallery
The photo box provides its own WLAN that the employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery in which employees can copy their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

The need for investment
The price for purchasing a photo booth that has been adapted in this way starts at around € 4,400 plus VAT and pays off for companies with around 100 employees.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept directly.
