What should be achieved?
The employees in your company have the opportunity to take their own employee photo and / or bring it up to date at a fixed or alternating location (e.g. in the dining room or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need additional staff on site.
This gives your workforce the option to always fully identify themselves with their personal employee photo.
The staff photos are automatically adapted to the appropriate format, freed from annoying elements in the background and, if desired, saved in some dimensions and aspect ratios.
Our proposed solution
You place a photo box that is perfect for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo booth in the same way as with a passport photo machine and see the instructions for the necessary actions on the monitor.
The screen serves as a touch screen at the same time as an input terminal for the necessary information such as B. Personnel number, name, surname and / or date of birth.
Alternatively, the photo box can also be configured in such a way that the data can be read directly from the company ID card. The employee data recorded in this way then becomes a component of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the photo can also be displayed.
After the employee portrait has been taken, the background of the photo can be automatically replaced with one or more backgrounds that you have specified. In the same way, the head is found for each photo, adjusted to a specified size and placed in a specified position on the final image.
The image is saved in a size and format defined by you (eg square for the ActiveDirectory). The name of the file is used to compare the photographed image and the internal employee data record. We would be happy to support your IT department in defining the interface.
A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image output can happen in several forms at the same time.

Logically, each file can also be “branded” with a company logo and / or the name and position of the employee will appear on the picture.

How did the staff come to the picture?
So that the CRM system or ActiveDirectory does not alone get the new photos, there are three different ways for employees to get their photos digitally.

The photo taken is immediately sent to the employee's email inbox. - Download from an online gallery
At the end of the photo sequence, a code is displayed or printed out on the screen, which the employee can use to load his or her original image and the various formats for the various target systems. - Download via QR code from an offline gallery
The photo box provides its own WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery from which the employee can save his or her pictures. In contrast to the online gallery, this path only goes in the direct vicinity of the photo booth.
