The mission goal
The employees in your company have the opportunity to photograph and/or update the individual employee photo at a fixed location or at alternating locations (e.g. in the dining room or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need extra staff on site.
You give your staff the opportunity to identify themselves completely at any time with their personal employee photo.
The staff photos are automatically adjusted to the best format, freed from annoying elements in the background and saved in various shapes and aspect ratios if desired.
Our proposed solution
You position a photo box that is perfect for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo booth, just like with a passport photo machine, and see the instructions for the necessary steps on the touchscreen.
The screen serves as a touch screen at the same time as an input terminal for the required information such as e.g. B. Personnel number, name, surname and/or date of birth.
Alternatively, the Photo Box can also be programmed in such a way that the data is read directly from the employee ID card. The information collected in this way then subsequently becomes part of the file name of the employee photo taken.
Optionally, a data protection screen with a release option for internal / external use of the image can also be displayed.
After the employee portrait has been taken, the background of the image can be automatically replaced with one or more backgrounds specified by you. The head is also identified for each photo, scaled to a specified size and placed in a defined position on the final image.
The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison is made between the stored portrait and the internal employee data record via the name of the picture. We would be happy to help your IT department determine the import interface.
As an extra option, a biometric check and a cut on a biometric ID photo are available.
The image output can take place synchronously in many formats.
So you always have the ideal photo for
Facebook, WhatsApp & Co, the CRM system, XING, LinkedIn
etc. lying ready.
Of course, each file can also be “branded” with company logos and/or the name and position of the employee can appear directly on the image.

How did the staff come to the picture?
To ensure that the CRM system or Active Directory is not the only one to benefit from the new photos, there are three different ways for employees to receive their photos digitally.
- Download from an online gallery
At the end of the sequence, a code is displayed on the touchscreen or printed out, which the employee can use to download the original image and the various sizes for the various target systems. - Enter the e-mail address at the end of the photo sequence.
The photo taken is sent directly to the employee's mailbox. - Download from an offline gallery via QR code
The photobooth provides its own WLAN that the employee has to dial into.
At the end of the recording, a QR code is displayed on the screen. The QR code leads to an offline gallery from which employees can save their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
Other possible uses
In order to make the best possible use of the acquisition, you have the following possible uses:
- Use at company parties (summer party, Christmas party ...}
- Employee photos (as explained above)
- Recordings of groups of visitors, e.g. after a tour of the company
- Recording of biometric passport photos and ID photos
- Photo attraction at customer events & meetings
The need for investment
The price for purchasing a photobooth optimized in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 employees or more.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over directly.
Customer ratings
Since the implementation of the system in 2019, two systems have been permanently installed in this country and in Zurich.
The system is very popular with employees at WWZ AG in Switzerland and at Haufe Lexware.
