The use of a photo box for employee photos
The employees in your company have the opportunity to photograph their own employee photo and / or bring it up to date at a fixed or regularly changing location (e.g. in the dining room or the company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that no extra personnel is needed on site.
You give your teams the option to identify themselves to 100% around the clock with their own employee photo.
The staff photos can be independently cut to the best format, freed from annoying elements in the background and optionally saved in different dimensions and aspect ratios.
Our proposed solution
You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There the employees will sit down in front of the photo box, similar to the passport photo machine, and read the instructions for the necessary actions on the monitor.
The monitor serves as a touch screen at the same time as an input terminal for the necessary data such as B. Employee ID, first name, last name and / or date of birth.
Alternatively, the photo booth can also be configured in such a way that the data can be read directly from the employee ID. The employee data collected in this way then becomes a component of the file name of the employee photo taken.
Optionally, a disclaimer screen can be set up with a release option for internal / external use of the image.
After the photo of the employee picture has been taken, the background of the picture can be automatically exchanged for one or more of your specified backrounds. The head is also determined for each photo, scaled to a specified size and placed on the final image at a specified position.
The photo is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). A comparison between the saved image and the in-house employee data record takes place via the name of the image. We would be happy to help your IT department define the connection.
As an extra option, a biometric check and a cut on a biometric ID photo are available.
The image output can take place at the same time in various dimensions.

Of course, each file can also be “personalized” with the help of the company logo and / or the name and position of the employee will also appear on the picture.

How does the employee get the picture?
So that not only the CRM system or the ActiveDirectory comes into possession of the new recordings, there are three different ways for employees to get their picture as a file.
- Download from an online gallery
At the end of the sequence, a code is displayed or printed on the touchscreen, which the employee can use to download his or her original image and the various sizes for the various target systems. - Enter the email address at the end of the photo sequence.
The photo taken is then sent to the employee's email address. - Download via QR code from an offline gallery
The Photo Box provides a private WLAN into which the employee has to dial in.
At the end of the recording, a QR code is displayed on the screen. The QR code leads to the offline gallery from which employees can copy their recordings. In contrast to the online gallery, this path only works in the direct vicinity of the photo box.
Additional uses
In order to make the best possible use of the acquisition, you have the following options:

The cost frame
The price for purchasing a photo box optimized in this way starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is taken over immediately.
