The mission goal

The employees in your company have the opportunity to photograph and/or update the individual employee photo at a fixed location or at periodically alternating locations (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need additional personnel on site.
You give your employees the option to always identify themselves to 100% with their individual employee photo.

The personal photos can be independently adapted to the best possible format, freed from disturbing elements in the background and, if desired, saved in different shapes and aspect ratios.

One possible solution

You position a photo box set up for employee photos in your company (e.g. in the HR department, at the ID office or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box in a similar way to the passport photo machine and see the operating instructions for the necessary steps on the screen.

The screen serves as a touch screen at the same time as an input terminal for the required data such as e.g. B. Employee identifier, name, surname and/or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the company ID card. The information recorded in this way will later become part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a confirmation option for internal/external use of the photo can also be set up.

After the employee picture has been taken, the background of the recording can be automatically replaced with one or more backgrounds specified by you. The head is also identified for each photo, scaled to a specified size and placed in a defined position on the final image.

The photo is saved in a size and aspect ratio you describe (eg square for Active Directory). The name of the file is used to compare the portrait taken with the internal employee data record. We would be happy to support your IT department in specifying the connection.

A biometric check and an adaptation to a biometric ID photo are available as an additional expansion stage.
The image output can be done synchronously in some formats.

Of course, each file can also be “personalized” using the company logo and/or the employee's name and position can appear directly on the image.

How does the photographed person get his picture?

To ensure that the CRM system or Active Directory alone does not come into possession of the new photos, there are three different ways for employees to receive their photo as a file.

1. Download from an offline gallery via QR code
   The photobox provides its own WLAN which the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery from which employees can save their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
2. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the screen or printed out, which the company employees can use to download their original photo and the various sizes for the various target systems.
3. Enter the e-mail address at the end of the photo sequence.
   The photo taken is immediately sent to the employee's email address.

The cost of purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the photo box is bought directly.
