What should be achieved?
The employees in your company have the opportunity to take their personal employee photo and / or bring it up to date at a fixed or periodically alternating location (e.g. in the casino or the company canteen or HR department).
It is important that this is the case in the form of a self-service process and that additional personnel are not needed on site.
You give your teams the chance to identify themselves at any time to 100% with their own employee photo.
The staff photos are automatically cut to the ideal format, removed from disturbing elements in the background and, if desired, saved in several sizes and aspect ratios.
One possible solution
You place a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit down in front of the photo box in the same way as with the passport photo machine and see the operating instructions for the necessary steps on the monitor.
The screen serves as a touch screen at the same time as an input terminal for the required information such as B. Employee ID, first name, last name and / or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the company ID card. The information collected in this way then becomes a component of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the employee profile can also be displayed.
After the photo of the employee's picture has been taken, the background of the photo can be automatically exchanged for one or different backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and placed on the final image at a specified position.
The photo will be saved in a size and aspect ratio that you have specified (e.g. square for the ActiveDirectory). The name of the file is used to compare the saved image and the internal employee data record. We would be happy to support your IT department in defining the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an additional expansion stage.
The image output can take place synchronously in many dimensions.
So you always have the right photo for
Twitter, XING, the CRM system, Outlook
etc. lying ready.
Of course, each file can also be “branded” with a company logo and / or the name and position of the employee can be directly on the picture.

How does the employee get the picture?
So that not only the CRM system or the ActiveDirectory can benefit from the new photos, there are three different ways for employees to get their photos as a file.
- Download via QR code from an offline gallery
The photo box provides a private WLAN that the employee has to dial into.
At the end of the recording, a QR code is displayed on the screen. The QR code leads to an offline gallery in which employees can download their photos. In contrast to the online gallery, this path only works in the direct vicinity of the photo box. - Download from an online gallery
At the end of the sequence, a code is displayed or printed out on the screen, which the employee can use to copy down his or her original recording and the various versions for the various target systems. - Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's mailbox.
Other deployment options
In order to make the best possible use of the acquisition, you have the following options:
- Use at company celebrations (summer party, Christmas party ...}

- Photos of groups of visitors, e.g. after a tour of the company

The cost frame
The price for the purchase of a photobox adapted in this way starts at around € 4,400 plus VAT and pays off for companies with around 100 employees.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the system is taken over directly.
