The mission goal

The employees in your company have the opportunity to photograph and / or update the individual employee photo at a fixed or periodically alternating location (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your workforce the opportunity to always fully identify themselves with their personal employee photo.

The staff photos are automatically adjusted to the appropriate format, removed from annoying elements in the background and, if desired, saved in several dimensions and aspect ratios.

Our proposed solution

You can place a photo booth optimized for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will sit down in front of the photo booth, similar to a passport photo machine, and see the instructions for the necessary actions on the display.

The monitor serves as a touch screen at the same time as an input terminal for the required information such as B. Personnel number, name, surname and / or date of birth.
Alternatively, the photo box can also be programmed so that the data can simply be read from the company ID card. The data collected in this way then becomes a component of the file name of the employee photo taken.
Optionally, a data protection screen can also be set up with a sharing option for internal / external use of the photo.

After the employee portrait has been taken, the background of the photo can automatically be exchanged for one or more of the backgrounds you have specified. The head is also determined for each photo, scaled to a specified size and placed at a specified position on the final image.

The photo is saved in a size and aspect ratio that you specify (e.g. square for the ActiveDirectory). A comparison is made between the saved portrait and the in-house employee data set using the name of the file. We would be happy to support your IT department in defining the interface.

A biometric check and a cut to a biometric ID photo are available as an extra expansion stage.
The image output can take place in many sizes at the same time.

etc. ready.

Logically, each file can also be “branded” with the help of the logo and / or the name and position of the employee will appear on the picture.

How does the employee get the photo?

So that not only the CRM system or the ActiveDirectory can enjoy the new recordings, employees can choose between three different ways to get their photo digitally.

1. Enter the email address at the end of the photo sequence.
   Then the captured photo is sent directly to the employee's email address.
2. Download via QR code from an offline gallery
   The Photo Box provides its own WLAN which the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the touchscreen. The QR code leads to the offline gallery from which employees can save their pictures. In contrast to the online gallery, this path only goes in the direct vicinity of the photo booth.
3. Download from an online gallery
   At the end of the sequence, a code is displayed or printed out on the touchscreen, which the employee can use to download his or her original photo and the various versions for the various target systems.

Alternative deployment options

To get the most out of your investment, you have the following options:

The need for investment

The cost of buying a photo box adapted in this way starts at around € 4,400 plus VAT and is worthwhile for organizations with around 100 employees.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is kept immediately.
