The mission goal
The employees in your company have the opportunity to photograph their own employee photo and/or update it at a fixed location or at a location that changes on a regular basis (e.g. in the dining room or the company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the option to always identify themselves to 100% with their individual employee photo.
The personal photos can be automatically cut to the best possible format, removed from annoying elements in the background and saved in various shapes and aspect ratios if desired.
A suggested solution
You position a photo box that is perfect for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit in front of the photo box, similar to a passport photo machine, and see the instructions for the necessary actions on the screen.
The monitor serves as a touch screen in parallel as an input terminal for the required information such as e.g. B. Employee identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data is read directly from the employee ID card. The employee data recorded in this way is then part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the employee profile can also be displayed.
After photographing the employee portrait, the background of the photo can be automatically replaced with one or various backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a specified position on the final image.
The photo is saved in a size and aspect ratio specified by you (eg square for Active Directory). The name of the picture is used to compare the portrait taken with the internal employee data record. We would be happy to support your IT department in determining the connection.
A biometric check and a cut to a biometric ID photo are available as an extra expansion stage.
The image output can be done synchronously to some extent.
So you always have the best photo for
the CRM system, LinkedIn, XING, WhatsApp & Co
etc. are available.
Logically, each file can also be “branded” with logos and/or the employee's designation and position will be immediately visible on the image.

How does the employee get the picture?
So that not only the CRM system or the Active Directory comes into possession of the new pictures, there are three different ways for the employees to get their picture as a file.
- Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to load his original photo and the different versions for the different target systems. - Download from an offline gallery via QR code
The photo box provides a private WLAN which the company employees must dial into.
At the end of the recording, a QR code is displayed on the screen. The QR code leads to an offline gallery from which employees can download their photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
The photo taken is then sent to the employee's email inbox.
Other deployment options
In order to make the best possible use of the acquisition, you have the following options:
- Photo attraction at customer events & conferences
- Use at company celebrations (summer party, Christmas party ...}
- Use at trade fairs to issue personalized “flyers”
- Recording of biometric passport photos and ID photos
- Employee photos (as already described)
- Pictures of groups of visitors, e.g. after a tour of the company
The need for investment
The cost of purchasing a photobooth perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
Customer ratings
Since the implementation of the system in 2019, two photo boxes have been permanently installed in Germany and Switzerland.
