The mission goal

The employees in your company have the opportunity to create and / or update their personal employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that extra employees are not needed on site.
You give your employees the opportunity to identify themselves completely around the clock with their personal employee photo.

The staff photos can be independently optimized to the best format, removed from annoying elements in the background and, if desired, saved in different sizes and aspect ratios.

Our proposed solution

You can place a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space requirement is around 1.5mx 1m.
There, the employees can stand in front of the photo box, similar to the passport photo machine, and see the instructions for the necessary steps on the touchscreen.

The monitor serves as a touch screen at the same time as an input terminal for the required information such as B. Employee ID, first name, family name and / or date of birth.
Alternatively, the Photo Box can also be programmed so that the data can simply be read in from the employee ID card. The data recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the recording can also be displayed.

Following the photograph of the employee picture, the background of the picture can automatically be exchanged for one or more backgrounds you have specified. The head is also found in every photo, adjusted to a specified size and placed in a defined position on the final image.

The recording is saved in a size and format specified by you (e.g. square for the ActiveDirectory). A comparison between the saved portrait and the internal employee data record takes place via the file name. We would be happy to help your IT department specify the import interface.

A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image output can take place in several dimensions at the same time.

Of course, each file can also be “personalized” by means of a company logo and / or the name and position of the employee can also appear on the picture.

How does the photographed person get the picture?

So that the CRM system or the ActiveDirectory alone does not come into possession of the new recordings, employees can choose between three different ways to get their picture as a file.

1. Enter the email address at the end of the photo sequence.
   The captured photo is sent immediately to the employee's mailbox.
2. Download from an offline gallery via QR code
   The Photo Box provides its own WLAN which the employee has to dial into.
   At the end of the recording, a QR code is displayed on the screen. The QR code leads to an offline gallery from which employees can load their recordings. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
3. Download from an online gallery
   At the end of the sequence, a code is displayed or printed out on the touchscreen, which the employee can use to download his or her original recording and the various formats for the various target systems.

The need for investment

The cost of buying such a perfected photo box starts at around € 4,400 plus VAT and pays off for companies with around 100 employees.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over immediately.
