The use of a photo box for employee photos

The employees in your company get the opportunity to create and/or update the individual employee photo at a fixed location or at a rotating location (e.g. in the dining room or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional employees are not needed on the spot.
You give your staff the opportunity to fully identify themselves around the clock with their individual employee photo.

The staff photos are automatically adjusted to the best format, irritating elements are removed from the background and, if desired, saved in different formats and aspect ratios.

A suggested solution

You position a photo box set up for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will sit down in front of the photo box, analogously to a passport photo machine, and see the operating instructions for the necessary actions on the touchscreen.

The screen serves as a touch screen in parallel as an input terminal for the required information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo booth can also be set up in such a way that the data can be read directly from the employee ID card. The information recorded in this way is then later part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal / external use of the image.

After the employee portrait has been photographed, the background of the image can be automatically replaced with one or various backgrounds specified by you. The head is also located for each photo, scaled to a specified size and positioned in a specified position on the final image.

The image is saved in a size and format you specify (eg square for Active Directory). A comparison is made between the saved photo and the in-house employee data record via the name of the picture. We would be happy to help your IT department clarify the interface.

As an extra option, a biometric check and a cut on a biometric ID photo are available.
The image output can take place in many sizes at the same time.
So you always have the right photo for
Instagram, Twitter, WhatsApp & Co, LinkedIn, Outlook
etc. are available.

Logically, each file can also be “personalized” with the help of the logo and/or the employee's name and position can be immediately visible on the image.

How does the employee get the picture?

So that not only the CRM system or the Active Directory can benefit from the new photos, there are three different ways for the company employees to choose from to also receive their photo as a file.

1. Download from an online gallery
   At the end of the sequence, a code is shown on the screen or printed, which the employee can use to load his original photo and the various versions for the various target systems.
2. Enter the email address at the end of the photo sequence.
   The photo taken is immediately sent to the employee's e-mail inbox.
3. Download via QR code from an offline gallery
   The photo box provides its own WLAN which the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to an offline gallery from which employees can save their pictures. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo booth.

In order to get the most out of your investment, you have the following options:

• Creation of biometric passport photos and ID photos

The need for investment

The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 or more employees.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is purchased directly.
