The use of a photo box for employee photos

The employees in your company are given the opportunity to create and/or update their own employee photo at a fixed location or at periodically alternating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your workforce the chance to always identify 100% with your personal employee photo.

The personal photos are automatically cut to the best possible format, freed from annoying elements in the background and optionally saved in various dimensions and aspect ratios.

Our proposed solution

You place a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box and see the operating instructions for the necessary steps on the touchscreen, just like with the passport photo machine.

The screen serves as a touch screen in parallel as an input terminal for the necessary information such as e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be set up in such a way that the data can simply be read from the company ID card. The information collected in this way is then part of the file name of the employee photo taken.
Optionally, a data protection screen with a release option for internal/external use of the employee portrait can also be set up.

After the photograph of the employee has been taken, the background of the recording can be automatically replaced with one or several backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a specified position on the final image.

The image is saved in a size and format specified by you (eg square for Active Directory). The name of the file is used to compare the photo taken with the in-house employee data record. We would be happy to help your IT department define the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image can be output in different formats at the same time.
So you always have the best possible photo for
LinkedIn, Instagram, Facebook, WhatsApp & Co, XING, the CRM system, Outlook, Twitter
etc. at hand.

Logically, each file can also be “branded” with company logos and/or the employee's name and position will be immediately visible on the image.

How does the employee get his picture?

So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employees to get their photo as a file.

1. Enter the email address at the end of the photo sequence.
   In this case, the photo taken is immediately sent to the employee's e-mail address.
2. Download via QR code from an offline gallery
   The photo box provides its own WLAN that the employee has to dial into.
   At the end of the recording, a QR code will appear on the screen. This QR code leads to the offline gallery where employees can download their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.
3. Download from an online gallery
   At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to download the original photo and the various versions for the various target systems.

In order to make the best possible use of your investment, you have the following options:

The need for investment

The cost of buying a photo box adapted in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is taken over directly.
