The use of a photo box for employee photos

The employees in your company have the option of creating and/or updating their personal employee photo at a fixed location or at periodically alternating locations (e.g. in the dining room or company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that you do not need extra staff on site.
You give your workforce the chance to identify themselves to 100% around the clock with their personal employee photo.

The staff photos can be automatically cut to the best format, freed from annoying elements in the background and optionally saved in different shapes and aspect ratios.

A suggested solution

You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo booth and read the instructions for the necessary steps on the monitor, similar to the photo booth.

The monitor serves as a touchscreen at the same time as an input terminal for the required information such as B. Personnel ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the company ID card. The employee data recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal/external use of the photo.

After the employee picture has been photographed, the background of the recording can be automatically replaced with one or several backgrounds specified by you. Likewise, the head of each photo is determined, adjusted to a specified size and positioned in a defined position on the final image.

The recording is saved in a size and format defined by you (eg square for the Active Directory). The file name is used to compare the photo taken with the internal employee data record. We would be happy to support your IT department in determining the import interface.

A biometric check and a cut to a biometric ID photo are also available.
The image output can take place in different sizes at the same time.

Logically, each file can also be “personalized” with the help of the logo and/or the employee's name and position can be included in the image.

How do the staff get their picture?

So that not only the CRM system or the Active Directory gets the benefit of the new photos, there are three different ways for the employees to get their picture as a file.

1. Enter the email address at the end of the photo sequence.
   The photo taken is then immediately sent to the employee's mailbox.
2. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the screen or printed out, which the company employees can use to download their original photo and the different sizes for the various target systems.
3. Download from an offline gallery via QR code
   The Photo Box provides a private WLAN that the employee has to dial into.
   At the end of the recording, a QR code is displayed on the screen. The QR code leads to the offline gallery where employees can load their photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box.

Alternative deployment options

In order to get the most out of your investment, you have the following options:

• Photos of groups of visitors, for example after a presentation

The cost frame

The investment for the purchase of a photo box perfected in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the possibility to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is taken over immediately.
