The use of a photo box for employee photos

The employees in your company have the option of taking their own employee photo and/or updating it at a fixed location or at regularly alternating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional employees are not needed on site.
You give your employees the chance to always identify themselves to 100% with their individual employee photo.

The personal photos are automatically optimized to the best possible format, freed from annoying elements in the background and, if desired, saved in many shapes and aspect ratios.

A suggested solution

You position a photo box set up for employee photos in your company (e.g. in the cafeteria, at the ID office or at the entrance in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box, similar to a passport photo machine, and see the operating instructions for the necessary actions on the screen.

The screen serves as a touch screen in parallel as an input terminal for the necessary information, e.g. B. Employee ID, name, surname and/or date of birth.
Alternatively, the photobooth can also be configured in such a way that the data is read in immediately from the employee ID card. The data collected in this way is then later part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal/external use of the recording can also be displayed.

After the photograph of the employee picture has been taken, the background of the picture can be automatically exchanged for one or various backgrounds specified by you. The head is also located for each photo, adjusted to a specified size and placed in a specified location on the final image.

The recording is saved in a size and format specified by you (eg square for the Active Directory). The name of the picture is used to compare the picture taken and the internal employee data record. We would be happy to help your IT department clarify the interface.

A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can take place synchronously in different sizes.

etc. at hand.

Of course, each file can also be “branded” with company logos and/or the name and position of the employee can also be visible on the image.

How does the employee get the picture?

To ensure that the CRM system or Active Directory is not the only one to benefit from the new recordings, there are three different ways for employees to receive their picture as a file.

1. Download from an online gallery
   At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to download their original photo and the various formats for the different target systems.
2. Enter the email address at the end of the photo sequence.
   In this case, the captured photo is immediately sent to the employee's email address.
3. Download via QR code from an offline gallery
   The photo box provides its own WLAN which the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery from which employees can copy their recordings. In contrast to the online gallery, this way is only possible in the immediate vicinity of the photo box.

Other possible uses

In order to make the best possible use of the acquisition, you have the following options:

• Pictures of groups of visitors, e.g. after a tour of the company
• Recording of biometric passport photos and ID photos

The cost frame

The investment for the purchase of a photo booth perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is taken over immediately.
