What should be achieved?
The employees in your company are given the opportunity to photograph and/or update the personal employee photo at a fixed location or at regularly alternating locations (e.g. in the dining room or the company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that additional personnel are not needed on site.
You give your workforce the opportunity to always identify themselves to 100% with their personal employee photo.
The staff photos are automatically optimized to the right format, freed from distracting elements in the background and optionally saved in several dimensions and aspect ratios.
A suggested solution
You place a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box in a similar way to the passport photo machine and see the instructions for the necessary actions on the screen.
The monitor serves as a touchscreen at the same time as an input terminal for the necessary data, e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the photobooth can also be set up in such a way that the data is read in immediately from the company ID card. The employee data collected in this way then becomes an element of the file name of the employee photo taken.
Optionally, a privacy screen can also be set up with a sharing option for internal/external use of the image.
After the employee picture has been taken, the background of the recording can be automatically replaced with one or many backgrounds specified by you. The head is also located for each photo, adjusted to a specified size and positioned at a specified location on the final image.
The image is saved in a size and format you specify (eg square for Active Directory). A comparison between the saved photo and the internal employee data record takes place via the file name. We would be happy to support your IT department in determining the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place simultaneously in different sizes.

Of course, each file can also be “branded” using company logos and/or the designation and position of the employee will be immediately visible on the image.

How does the photographed person get the photo?
To ensure that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for employees to get their photo digitally.
- Enter the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's email address. - Download via QR code from an offline gallery
The photobox provides its own WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery from which employees can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth. - Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to download his original recording and the various sizes for the various target systems.

The cost frame
The investment for the purchase of such a perfected photo box starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
