The mission goal
The employees in your company are given the option of photographing and/or updating their own employee photo at a fixed location or at regularly alternating locations (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that extra employees are not needed on site.
This gives your staff the option to fully identify themselves at any time with their own employee photo.
The personal photos are automatically cut to the best possible format, freed from annoying elements in the background and optionally saved in various dimensions and aspect ratios.
Our proposed solution
You position a photobox that is perfect for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees will stand in front of the photo box, as with the passport photo machine, and read the instructions for the necessary actions on the screen.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as e.g. B. Personnel identifier, name, surname and/or date of birth.
Alternatively, the photo booth can also be programmed in such a way that the data can be read directly from the company ID card. The information collected in this way is then part of the file name of the employee photo taken.
Optionally, a privacy screen can also be set up with a sharing option for internal/external use of the photo.
After the employee portrait has been taken, the background of the image can be automatically replaced with one or different backgrounds specified by you. The head of each photo is also determined, scaled to a specified size and placed in a specified position on the final image.
The photo is saved in a size and format you specify (eg square for Active Directory). The name of the picture is used to compare the picture taken with the in-house employee data record. We would be happy to support your IT department in defining the interface.
A biometric check and a cut to a biometric ID photo are available as an extra expansion stage.
The image can be output in many formats at the same time.
So you always have the best possible photo for
XING, Outlook, Facebook, Instagram, LinkedIn, Twitter, the CRM system
etc. ready.
Of course, each file can also be "branded" with a company logo and/or the name and position of the employee can be immediately visible on the image.

How does the photographed person get the picture?
So that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for the employee to receive his photo as a file.
- Enter the e-mail address at the end of the photo sequence.
The photo taken is immediately sent to the employee's email address. - Download from an online gallery
At the end of the sequence, a code is displayed on the touchscreen or printed out, which the employee can use to download his original photo and the different formats for the various target systems. - Download via QR code from an offline gallery
The photo box provides a private WLAN that the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery from which the employee can load his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.

The cost frame
The cost of purchasing a Photo Box modified in this way starts at around €4,400 plus VAT and is worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the system is taken over directly.
