The use of a photo box for employee photos
The staff in your company have the opportunity to create and/or update their own employee photo at a fixed location or at regularly alternating locations (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need extra staff on site.
You give your teams the chance to identify themselves to 100% at any time with their personal employee photo.
The staff photos can be automatically optimized to the right format, freed from disturbing elements in the background and optionally saved in a number of formats and aspect ratios.
One possible solution
You position a photo box perfect for employee photos in your company (e.g. in the cafeteria, at the ID office or at reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box and read the instructions for the necessary actions on the display, just like with the photo booth.
The monitor serves as a touch screen at the same time as an input terminal for the required data such as B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data can simply be read from the company ID card. The information collected in this way is then part of the file name of the employee photo taken.
Optionally, a privacy screen can also be set up with a confirmation option for internal/external use of the photo.
After the employee picture has been taken, the background of the photo can be automatically replaced with one or different backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned in a defined position on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for Active Directory). A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.

How did the staff get the photo?
So that not only the CRM system or the ActiveDirectory can benefit from the new images, the staff can choose between three different ways to get their image as a file.
- Download via QR code from an offline gallery
The Photo Box provides its own WLAN which the staff has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. The QR code leads to an offline gallery where staff can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the staff can use to download the original recording and the different versions for the different target systems. - Entry of the email address at the end of the photo sequence.
Then the captured photo is sent directly to the employee's mailbox.
