The mission goal
The staff in your company have the opportunity to photograph and/or update the personal employee photo at a fixed location or at alternating locations (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional employees are not required on site.
You give your staff the option to always identify themselves to 100% with their individual employee photo.
The personal photos can be automatically cut to the ideal format, freed from disturbing elements in the background and optionally saved in several dimensions and aspect ratios.
Our proposed solution
You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box, similar to the photo booth, and see the instructions for the necessary actions on the monitor.
The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as B. ID, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be programmed in such a way that the data is simply read in from the employee ID card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a privacy screen can also be displayed with a sharing option for internal/external use of the photo.
After the employee portrait has been photographed, the background of the recording can be automatically replaced with one or many backgrounds specified by you. Likewise, the head is located for each photo, adjusted to a specified size and placed in a defined position on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for Active Directory). The file name is used to compare the portrait taken with the internal employee data record. We would be happy to help your IT department define the interface.
A biometric check and an adaptation to a biometric ID photo are available as an additional expansion stage.
The image output can take place in parallel in several dimensions.
So you always have the ideal photo for
Facebook, Outlook, LinkedIn, Twitter, Instagram, XING, WhatsApp & Co
etc. within easy reach.
Of course, each file can also be “branded” using the company logo and/or the name and position of the employee will appear directly on the image.

How does the photographed person get his picture?
So that not only the CRM system or the Active Directory comes into possession of the new pictures, there are three different ways for the staff to receive their picture as a file.
- Enter the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's email inbox. - Download from an online gallery
At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the staff can use to download their original photo and the various sizes for the different target systems. - Download from an offline gallery via QR code
The photo box provides its own WLAN which the staff has to dial into.
At the end of the sequence, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery where staff can download their recordings. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo booth.
Additional uses
In order to make the best possible use of the acquisition, you have the following options:
- Employee photos (as already explained)
- Recording of biometric passport photos and ID photos
- Use at trade fairs to produce personalized “flyers”
- Photos of groups of visitors, e.g. after a lecture
- Photo attraction at customer events & meetings
- Use at staff parties (summer party, Christmas party ...}
The need for investment
The price for the purchase of a photobooth perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 or more employees.
Of course there is also the possibility to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the photo box is bought directly.
Customer ratings
Since the implementation of the system in 2019, two photo boxes have been permanently installed in this country and in Switzerland.
The system is very popular with employees at WWZ AG in CH and at Haufe Lexware.
