The use of a photo box for employee photos

The staff in your company are given the opportunity to create and/or update their own employee photo at a fixed location or at alternating locations (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional employees are not needed on site.
You give your employees the chance to identify themselves to 100% at any time with their personal employee photo.

The personal photos are automatically optimized to the optimal format, removed from disturbing elements in the background and optionally saved in a number of shapes and aspect ratios.

Our proposed solution

You can place a photo box that is perfect for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box and see the operating instructions for the necessary steps on the display, just like with the passport photo machine.

The screen serves as a touchscreen in parallel as an input terminal for the required data such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read in immediately from the company ID card. The employee data collected in this way is later part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal/external use of the photo can also be set up.

After photographing the employee picture, the background of the photo can be automatically exchanged for one or many backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and placed in a specified position on the final image.

The photo is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison between the recorded portrait and the internal employee data record takes place via the file name. We would be happy to help your IT department determine the interface.

As an extra option, a biometric check and an adaptation to a biometric ID photo are available.
The image output can be done synchronously in several sizes.
So you always have the ideal photo for
Facebook, Outlook, XING, Twitter, Instagram
etc. lying ready.

Logically, each file can also be “branded” using the company logo and/or the employee's name and position will also appear on the image.

How does the employee get the picture?

To ensure that the CRM system or the Active Directory are not the only ones to get hold of the new images, there are three different ways for the staff to choose to get their image digitally as well.

1. Entry of the email address at the end of the photo sequence.
   The photo taken is immediately sent to the employee's mailbox.
2. Download from an online gallery
   At the end of the recording, a code is displayed on the touchscreen or printed out, which the staff can use to download the original recording and the different formats for the various target systems.
3. Download from an offline gallery via QR code
   The photo box provides its own WLAN that the staff has to dial into.
   At the end of the recording, a QR code is displayed on the screen. This QR code leads to an offline gallery where staff can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

Other possible uses

In order to make the best possible use of the acquisition, you have the following options:

• Recording of biometric passport photos and ID photos
• Photos of groups of visitors, e.g. after a tour
• Employee photos (as described above)
• Use at trade fairs to produce personalized “flyers”
• Use at staff parties (summer party, Christmas party ...}
• Photo attraction at customer events & meetings

The cost frame

The investment for the purchase of such a perfect photo box starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over directly.
